M3 ORDER ENTRY: SALES AND WARRANTY

1: ACCESSING DASHBOARD: OIS300
Upon logging into Infor M3, you will need to get to the main dashboard that shows all existing orders that are pending or invoiced. The dashboard is titled as OIS300.

If not listed as a favorite yet, you'd need to search for it.
To do so use CTRL + S and type in OIS300 to bring up the main dashboard as shown below.
This can also be done with inventory panel MWS068 (BALANCE ID)

Please add both panels to favorites by simply right clicking on the white lettering, and selecting "add to favorites" from drop down menu.


2: NEW ORDER ENTRY AND CHOOSING PROPER CUSTOMER# (SALES ACCOUNT VS WARRANTY ACCOUNT)

CUSTOMER ACCOUNT#S TO BE USED:

Vinotemp warranty account: 50295

Vinotemp sales account: 50292

Avanti sales account: 50821

Avanti warranty account (consumer exchange): 50470


**** BEFORE ORDER CAN BE ENTERED PROPERLY, THE FIELDS BELOW NEED TO BE FILLED OUT AS SHOWN.
AGAIN, CUSTOMER# WILL VARY DEPENDING ON CALL TYPE W/ CUSTOMER (WARRANTY OR SALES).

When all fields are filled out, simply press ENTER, and proceed to fill out order details.

3: CHOOSING CORRECT WAREHOUSE:
On this screen, you will need to choose the correct warehouse to ship new unit or part from.
All Vinotemp models ship from Nevada.

****FOR AVANTI WARRANTY REPLACEMENTS, WE WANT TO USE A WAREHOUSE CLOSE TO THE CUSTOMER'S AREA.
This is to reduce potential freight damage and reduce shipping costs.

Under warehouse field, you can either use drop down menu to choose warehouse or type in M3 code of warehouse.

SPARKS,NEVADA - M3 CODE = SNV

ERIE, PENNSLYVANIA - M3 CODE = EPA (ONLY FOR WINEMATE UNITS AND SPARE PARTS)

PARIS,KENTUCKY - M3 CODE= PKY (ALL VINOTEMP AND AVANTI PARTS SHIP FROM THIS WAREHOUSE)

HAMILTON, NEW JERSEY - M3 CODE = HNJ

WESTON, FLORIDA - M3 CODE = WFL


4: UPDATING DELIVERY ADDRESS AND BILLING ADDRESS:
It is IMPORTANT to always have a confirmed, valid shipping address.
This is to avoid excessive freight costs for TLC and avoid customer frustration.

The delivery address is the shipping address, and the invoice address is the billing address of the card.
PLEASE ALWAYS ENSURE BILLING ADDRESS IS CORRECT AND SPELLED PROPERLY TO AVOID CREDIT CARD PAYMENT ERRORS

EACH FIELD HAS ITS OWN CHECK BOX, WHEN THE BOX IS MARKED AND IS LIT IN BLUE,.
PRESS NEXT to update the address.
You will need to perform this action twice, for delivery address and invoice address.

**** When entering STREET, AVENUE, BOULEVARD, PLACE, ETC....the system does not take full spelling.
You'd need to use the abbreviations ST, AVE, BLVD, PL, ETC...

For any apartment, suite, or mailbox#, you'd need to use the 2nd blank field (GENERAL ADDRESS).
Delete general address and input the required apt or suite #


5: CREDIT CARD PROCESSING AND ADDING PO# AND REFERENCE #
When processing a credit card payment, accounting dept. wants the team to use the customer's FIRST AND LAST NAME.
This is needed for them to be able to track and confirm payment for the order.

Under payment and conditions and pricing and conditions you would need to choose "payment terms" and "payment method", and choose credit card for both. And you'd need to make the order taxable.

**** TLC TAKES ALL MAJOR CREDIT CARDS - AMEX, VISA, MASTERCARD, DISCOVER



***** TO MAKE ORDER TAXABLE:
Dropdown menu for TAX APPLICABLE - YES
TAX CODE = TAX - NORMAL TAX AND PRESS SELECT

****ENSURE ALL ORDER PARAMETERS BELOW ARE CORRECT BEFORE PROCEEDING WITH CHARGING CREDIT CARD:

**** ENSURE FIELDS OF FIRST/LAST NAME, BILLING ADDRESS AND ZIP CODE ARE FILLED OUT AND CLICK ON BLUE RECTANGLE "AUTHORIZE AND CAPTURE" TO ENTER CREDIT CARD DETAILS SUCH AS NAME, BILLING ZIP CODE, EXPIRATION DATE AND SECURITY PIN



***** PROCEED TO ENTER CREDIT CARD DETAILS SUCH AS CARD NUMBER, EXPIRATION DATE, SECURITY PIN,
FULL NAME, AND BILLING ZIP CODE. AND CLICK ON SUBMIT BUTTON TO PROCESS PAYMENT

**** SHOULD CREDIT CARD# APPEAR IN RED, IT MEANS THAT EITHER YOU HAVE A WRONG DIGIT IN THE SEQUENCE AND YOU'D NEED TO RECONFIRM WITH THE CUSTOMER.


6: CHOOSING PROPER SHIPPING METHOD: LTL VS UPS (PARCEL)

ALL SPARE PARTS FOR VINOTEMP AND AVANTI SHIP WITH UPSG (UPS GROUND) FROM PARIS, KENTUCKY (PKY) WAREHOUSE.

Under ship via, you will need to expand the menu by clicking side arrow and typing in UPS, and select UPS GROUND.
Under carrier type, you will need to select PARCEL for UPS and LTL for LTL shipment.

For Vinotemp sales/warranty orders, 50 bottle or higher capacity models will ship LTL, 
models w/ lower capacity ship UPSG (UPS GROUND).

For Winemate sales/warranty orders, WM-1500/2500CD,HTD,HZD units ship via UPSG (UPS GROUND).

WINEMATE 3500HZD,4500HZD,6500HZD,8500HZD AND ALL WINEMATE SPLIT SYSTEMS (SSD,SSH,SSL,SSR,ETC..)
